Reference Management Tool - EndNote 21: Organize References

Effectively organizing your EndNote library enables efficient management of research materials. EndNote provides organizational tools to categorize and find references as your collection grows.

Tag References

Tags are customizable labels you can use to organize your references. You can add multiple tags to a single reference.

  1. Click the 'Add' button () on the sidebar to create a tag
  2. Provide a name for the tag and choose a colour
  3. Select a reference, click Manage tags under 'Edit' tab
  4. Choose from exiting tags or click Create tag to add a new one

Create Groups

You can create different groups in EndNote to organize your references based on your research needs.

Create a Group

  1. Select Groups, and then choose Create Group
  2. Name the group
  3. Select reference(s) in your library and drag them to the desired group

Create a Smart Group - A group with preset search criteria

  1. Select Groups
  2. Click Create Smart Group
  3. Set criteria / filters / settings in 'Smart Group' window
  4. Press Create

Note

All references matching the criteria will be automatically added to the smart group, including any newly added references.

Create from Groups - Extracting references from existing groups

  1. Select Groups
  2. Click Create from Groups
  3. Name the group
  4. Use And, Or, Not to set criteria for the references to be included
  5. Press Create

Create Group Sets

EndNote allows you to gather simple groups or smart groups into different sets.

  1. Select Groups, and then choose Create Group Set
  2. Name the group set
  3. Drag and drop the group(s) you would like to add under the new group set

Edit References

It is a good practice to review the accuracy of information for imported references. If needed, you can manually correct the information.

  1. To edit a reference, double-click the reference in your EndNote library to open the edit panel
  2. Revise the record details as needed in the 'Edit' tab

Find and Remove Duplicates

The Remove Duplicates feature helps eliminate redundant references in your EndNote library.

  1. Select Library on the menu bar
  2. Click Find Duplicates to check if there are duplicate records:
    • If no duplicates are found, you will see a pop-up message "No duplicate references found."
    • If duplicates are found, you will see a 'Find Duplicates' window displaying all duplicate records
  3. Review the duplicate records and press the 'Keep This Record' button to retain the preferred record

Backup References

Backing up references is a good practice to protect your EndNote Library and citation information from data loss.

Save a Copy for Your EndNote Library

  1. Go to File, and then Save a Copy
  2. Two EndNote files will be saved to your local computer :

Save as a Compress Library

  1. Go to File, and then Compress Library (.enlx)
  2. Review the setting from the 'Compress Library' window
  3. Click Next
  4. Save the .enlx file to your preferred location
